This policy explains how Sivaraman (Individual / Freelancer) (“we”, “us”), the provider of Siva Billing, collects, uses, shares and protects personal data, in line with the Digital Personal Data Protection Act, 2023 and other applicable Indian law. For this service we act as the “data fiduciary” for the information you give us when you sign up or contact us.
What we collect
- Account details: name, email, phone number, business name, password (stored only as a secure hash).
- Business data you enter into the software: products, prices, stock, bills and customer names you type, staff names and permissions. You decide what to enter.
- Technical data: IP address, device name and an installation ID of each computer that signs in, sign-in times, and security events (for example blocked sign-in attempts).
- Payment records: payment ID, amount and date. Card, UPI or bank details are entered on Razorpay and are never stored by us.
- Messages you send through our contact form, email or phone.
- Demo bookings: name, email, phone, business name and type, the time you choose and anything you tell us, used only to arrange and run your demo. Cancelled or completed bookings are deleted after 12 months.
Why we use it
- To create and run your account and provide the software, web dashboard and support (to perform our contract with you).
- To take payments, issue invoices and keep tax and accounting records.
- To keep the service secure, prevent abuse and fix problems.
- To send service emails (confirmations, account status, payment problems). We do not send marketing email without your consent.
Who we share it with
Only the service providers needed to run the service: Razorpay (payments), our web hosting provider, our email delivery provider, and Google Fonts (fonts are loaded from Google, which can see your IP address). We do not sell your personal data and we do not use it for advertising. We may disclose data if the law or a court requires it.
How long we keep it
While your account is active. After you delete your account, your business data, staff logins, billing history and activity records are deleted from the website immediately. Razorpay keeps payment records as the law requires, and we may keep basic payment and invoice records outside the website for as long as tax and accounting laws require.
Your rights
You can access, correct and erase your data, withdraw consent and nominate someone to exercise your rights. Most of this is self-service: Dashboard → Profile lets you download a copy of your data and delete your account. For anything else, or to complain, contact our grievance officer (see the Grievance Redressal page). If you are not satisfied you may approach the Data Protection Board of India.
Security
We use HTTPS, hashed passwords and API keys, role-based permissions, sign-in rate limits, signed webhooks and activity logs. No system is perfectly secure; if a breach affects your data we will tell you and the authorities as the law requires.
Children
The service is for businesses and is not intended for anyone under 18.
